The Roostertail Music Festival at The Madison Regatta
Event Overview
The Roostertail Music Festival is the entertainment centerpiece of the Madison Regatta, one of the nation’s oldest and most storied hydroplane boat races. Held each 4th of July weekend at Bicentennial Park along the Ohio River, the festival blends patriotic celebration with major live music performances, drawing crowds from across Indiana, Kentucky, and Ohio.
The Regatta organizers engaged TSE Entertainment to lead both talent booking and event production, ensuring that the Roostertail Festival lineup and execution matched the scale of the Regatta itself.
Our Role & Scope of Work
Booking Services
TSE’s involvement extended well beyond simply signing artists. Our scope of work included:
- Reaching out to all major agencies to collect artist options within the festival’s budget, then narrowing selections using data such as average ticket price, audience size, and regional popularity.
- Guiding the Regatta team to secure headliners first (as headliner management typically approves supporting acts) before building out the rest of the bill.
- Managing all official offers, negotiations, and contracts, including redlining riders, securing signatures, and coordinating payment terms.
- Handling advancing logistics-rider requirements, hospitality, travel, and show-day coordination with artist tour managers.
- Delivering marketing-ready assets-artist-approved photos, bios, videos, and logos-and securing management approval for announcements. In some cases, TSE also arranged artist shout-out videos for the festival’s promotional campaign.
In total, TSE booked nine artists for the 2025 Roostertail Festival, including headliners Randy Houser and Dustin Lynch, plus supporting acts Aidan Canfield, Lauren Watkins, Larry Fleet, Joe Clark, Dipper, Owen Riegling, and Vincent Mason. The festival organizers secured additional local openers.
Production Services
TSE also played a central role in production management, including:
- Stage management and crew coordination
- Backstage planning, artist hospitality, and green room layout
- Sound, lighting, and power logistics
- Security and backstage access control
- Coordination with festival staff, volunteers, and vendors
Booking Challenges & Solutions
High-Demand Holiday Weekend
The 4th of July is one of the busiest weekends in live entertainment. Artists are in high demand, routing is complicated and offers often expire quickly. TSE managed this by extending offer deadlines strategically, knowing the risks of losing other options, while keeping negotiations alive across multiple agencies.
Radius Clauses
Madison’s proximity to Lexington, KY, and Cincinnati, OH, created strict radius restrictions. Many acts were ineligible if they had nearby shows previously booked within the blackout period. TSE navigated eight different agencies, persuading artist managers that the Roostertail Festival was worth committing to despite potential market conflicts.
Competing Festivals
Other nearby 4th of July events and festivals added to the challenge. TSE emphasized the Roostertail’s unique patriotic, riverfront setting to secure artists and position the festival as a premier July 4th experience.
Complex Logistics
From Dustin Lynch’s requirement for a larger SL-320 stage upgrade to multiple rider demands, TSE handled the full advancing process, ensuring technical, travel, and hospitality requirements were met seamlessly.
Impact
By centralizing offers, contracts, negotiations, and logistics, TSE saved the Regatta team significant time and headaches, freeing them to focus on fan experience and the boating aspects of the Madison Regatta. Our 50 years of industry relationships ensured the right artists were secured at the right fees, delivering a lineup that drove attendance and excitement.
Production Challenges, Solutions & Recommendations
TSE also managed production onsite and later delivered a detailed post-event recommendations report for future improvements.
Key Challenges Identified
- Heat & Scheduling: Early start times in July heat reduced audience energy.
- Backstage & Artist Vehicles: Congested artist parking, small roads, and limited secure access areas.
- Backstage Privacy: No scrim fencing left so the artist area was too exposed.
- Team Workload: TSE’s crew worked long hours with limited staff.
- Communication: Key event and festival staff relied on cell phones instead of radios, slowing coordination.
- Stage & Power: Larger stage setup required additional load-in time; highlighted a need for upgraded park infrastructure.
- Hospitality: Green rooms lacked cooling and proper separation for artists vs. staff.
Solutions & Recommendations
- Push entertainment start times later in the evening to avoid heat issues and allow more setup time.
- Establish secure backstage parking/ingress for artists, plus scrim fencing for privacy.
- Add cooling systems and improved green room spaces.
- Increase event and festival staff and crew presence.
- Equip all key staff and security with radios and power banks.
- Upgrade the park infrastructure (power distribution and long-term stage options).
- Create more fan engagement opportunities, photo backdrops, branded props, and incentives for sharing content online.
Results & Impact
- Star-Powered Lineup: Secured Randy Houser and Dustin Lynch, along with a well-rounded supporting bill.
- Operational Success: TSE delivered smooth changeovers, fully advanced riders, and efficient backstage management.
- Time Savings for Client: TSE absorbed negotiations and coordination, allowing organizers to focus on festivalgoers.
- Future Roadmap: Post-event recommendations provided a blueprint for production improvements in 2026 and beyond.
